    Job Description
    The Membership Manager is responsible for the sales of new memberships within the Greater Stillwater Area and assists with event sponsorship sales. This position implements strategic direction for the organization’s membership growth. The Membership Manager will develop and direct the annual planning relating to membership development including the management of the member database, and the annual Quick Reference Guide and Directory publications. This position will also assist with community events, member programs, and special projects may be assigned as needed by the Executive Director. This position reports Directly to the Executive Director.

    General Tasks:  
    Membership Tasks:
    • Contact, acquire and sell new Chamber memberships. Actively seek new leads and follow up as appropriate. 
    • Conducts at minimum 6 hours a month unscheduled, off-site business visits as assigned by the Executive Director.
    • Schedule appointments and personal visits with prospective businesses and organizations.
    • Attend Women’s Business Bridge each month.
    • Achieve budgeted revenue goals and membership goals set by the Executive Director.
    • Develop objectives and research-based strategies for prospecting.
    • Ensure all sales processes are integrated and strategic, support strategic plan objectives, create brand position, adhere to brand standards and foster effective expenditures of resources.
    • Provide the Executive Director with member reports, stats, and a forecasted pipeline when requested.
    • Creates and manages membership trade agreements with approval from the Executive Director.
    • Creates and disseminates membership marketing material as assigned.
    Membership Services
    • Troubleshoot member issues that arise.
    • Create welcome packages (email and snail mail) to new members, assign mentor, and follow up with any needs members may have.
    • Ongoing research strategies and program development for membership retention and growth.
    • Develop research-based strategies for partnerships and the development marketing and sponsorship programs and opportunities.
    • Assist the Executive Director with sponsorship sales.
    • Schedule, develop and implement Chamber 101 events. Review on a regular basis.
    • Assists Chamber members in taking full advantage of their membership including participation (attendance and volunteerism) and retention in the Chamber.
    • Develop, manage and implement Membership Renewals including all messaging, invoicing and collections with assistance as needed.
    • Trade Agreements
      • Manage both service trades and media trades
      • Track in ChamberMaster and on master spreadsheet in the Drive following the SOP
      • Reach out to each trade in fourth quarter of the previous year
      • All trades must be approved by the Executive Director
      • When renewal time comes, manage trades case by case when sending renewal notices.
    • Renewal Campaigns
      • Plan and Implement
      • All messaging and communications
      • Enter Payments
      • Manage and make collection calls
      • Schedule and manage all payment plans
    • Ribbon Cuttings:
      • Track and manage Ribbon Cutting requests in a timely fashion. Follow-up with new members at least three times (defined by office processes) prior to their deadline.
      • Coordinate the scheduling of Ribbon Cuttings and assist members with logistics.
      • Attend Ribbon Cuttings representing the Chamber extending new members a warm welcome and with a focus on retention for current members.
    Chamber Programs & Community Events:
    • Ambassador Team:
      • Assist the Executive Director with the coordination of the Ambassador Team & Committees.
      • Maintain updated contact lists for the Ambassador Team & Committees in Google Drive and ChamberMaster
      • Attend monthly meetings as assigned, and record meeting minutes when requested.
      • Represent the Chamber as staff at all Ambassador meetings adhering to office processes, professionalism, and confidentiality.
    • ChamberNet:
      • Rotate attending ChamberNet groups monthly.
      • Manage list of membership for all groups via ChamberMaster working with each group chairperson(s).
      • Act as the Chamber liaison with group chairperson(s) coaching and overseeing the meeting.
      • Continue to seek innovative ways to increase membership, retain, and add value.
    • Attend network events outside of normal work hours to maintain excellent relationships with our members.
      • Coffee Talk 1.5 hours monthly
      • Evening Mixers 2.0 monthly
      • Ignite 2.0 hours monthly
      • WBB 2.0 hours monthly
      • Toast and Topics 2.0 hours quarterly
      • Visits to ChamberNet Groups as assigned
      • Ribbon Cuttings as assigned
    • Assist staff with programs and community events as needed.
    Knowledge, Experience, and Education Required:
    • Bachelor's degree in marketing, communications, business, related field or equivalent experience.
    • Minimum of two years of experience in sales/marketing positions with preference to experience working in the Chamber of Commerce/association management industry.
    • Strong interpersonal skills to effectively cultivate relationships with prospects, members, volunteers and community stakeholders.
    • Strong written and verbal skills, articulate with an ability to understand messages, etc.
    • Experience and success in developing compelling written, oral and visual presentation materials.
    • Ability to organize, plan and prioritize workload involving multiple projects at one time.
    • Ability to think creatively and innovatively as well as provide solutions.
    • Strategic, critical thinking and problem-solving abilities.
    • Must be a team player that works well in fast-paced, changing environment. Must have the ability to foster the values of member relations and quality assurance in customer service.
    • Proficient in Microsoft Office programs including Outlook, Excel, Powerpoint, Word and Publisher.
    • Must obtain an acute knowledge or ability and desire to learn, social media tools
    • Requires sufficient physical capacity to perform general office work as well as service indoor and outdoor events and activities including ability to sit for extended periods of time, stand and walk for extended periods of time including outdoors, and lift up to 45 pounds on an occasional basis and lift up to 15 pounds on a regular basis.
    • Must have/maintain a dependable vehicle with proof of license and insurance.
    Other duties as requested by the Executive Director

    $18 per hour, one week vaction, no other benefits
